How to register a vehicle in a company name
To register a vehicle in the name of a company, the company must have a VicRoads customer number. You can find this number on:
- your company's myVicRoads account
- any vehicle registration renewal notices in your company’s name.
For all types of company transfers, you’ll need:
- evidence of identity to lodge the transfer at a VicRoads Customer Service Centre
- an ACN or ARBN (for an international company registered in Australia). This process does not apply for businesses with an ABN.
If your company doesn't have a VicRoads customer number, you’ll need to:
- Visit a VicRoads Customer Service Centre.
- Provide full evidence of identity documents for your company.
- Details of the individual acting on behalf of your company also need to be on the transfer form. Include the company representative’s name and VicRoads customer number in the Representative’s Details section.
What you need to provide
To transfer from a private individual to or from a company, or from one company to another company, you must provide:
- a completed vehicle transfer form (PDF) signed by both parties. This includes a person eligible to sign on behalf of the company (such as a director) and the full name and customer number of the person lodging the transfer
- the VicRoads customer number of the company
- a current and original roadworthy certificate (issued not more than 30 days before the date of transfer)
- the applicable transfer fee and motor vehicle duty.
To transfer the registration of a vehicle transferring due to corporate reconstructing, you must provide:
- a vehicle transfer form (PDF)
- a Statement of Duty Concession issued by the State Revenue Office
- the applicable transfer fee.
The State Revenue Office may grant a concession from motor vehicle duty. See Corporate reconstruction concession on the State Revenue Office website.
To transfer to a company shareholder because distribution of assets is occurring due to reduction of capital, you'll need to provide:
a copy of Form 2560 (Notification of Reduction in Capital) from the Australian Securities and Investment Commission (ASIC) signed by the company's director(s)
a completed vehicle transfer form (PDF) signed by both parties. This includes a person eligible to sign on behalf of the company (such as a director) and the full name and customer number of the person lodging the transfer
a current and original roadworthy certificate (issued not more than 30 days before the date of the transfer)
the applicable transfer fee and motor vehicle duty.
To transfer the registration of a vehicle from a company in liquidation you must provide:
a copy of the Notice of Appointment of the liquidator signed by the liquidator, administrator or receiver, or a shareholder's resolution
a letter from the liquidator that states the person nominated by the liquidator is entitled to the vehicle
a completed authority to act form or authorisation on company letterhead signed by a director of the company.
