Apply to be an approved vehicle club

To become an approved club, gather your club's details and get an official to apply.

How to apply to be an approved vehicle club

If you want your vehicle club or association to be approved, an officer of the club will need to apply in writing. 

If we approve your application, we’ll send you a letter to let you know. Your club will be added to the VicRoads list of approved vehicle clubs and associations.

If we don’t approve your application, we’ll also send you a letter. This will explain why and any actions you can take.

    Step 1: Prepare all your documents

    You’ll need to prepare the below documents and information:

    *Note that the below can’t sign the lower half of this form unless they are also a Scrutineer or Club Safety Officer:

    • club president
    • secretary
    • officer.

Your signed letter must include the below information:

  • the names, addresses, contact details and driver licence numbers of the club’s executives and anyone who acts as a club bearer, safety officer or scrutineer. For non-executive members, you’ll also need to include specimen signatures
  • the club’s email address
  • the club’s date of establishment
  • the number of existing members at the time of application
  • the types of vehicles and a range of the ages of the vehicles accepted by the club
  • an estimation of the number of vehicles that will require permits
  • whether the club is an incorporated association
  • details of the number and types of events held by the club and whether interstate travel is involved.

    Step 2: Submit your application

    Check that you’ve got all the right documents and information for your club’s application. When you’re ready, you can submit your application by emailing it to:
